Business Visa Checklist

Valid Passport

·        No Handwritten passports will be accepted. Passports with any manual observations will not be

·        Accepted.

·        Must have at least a validity of 3 months after return from intended stay

·        Must have at least 2 blank pages.

·        Proof of minimum 6 months to be provided. (Letter from Bank/Employer)

Visa application Form duly completed

·        2 signatures of the applicant

·        2 photographs to be submitted

·        Travel dates and duration of stay must be mentioned.

·        Contact details must be clearly mentioned and pertain to the applicant,

Covering letter from Indian company in original and on company letterhead

·        Name of & designation applicant and other members travelling.

·        Date of joining, travel dates, itinerary and duration of stay.

·        Details of the sponsor of the trip.

·        Purpose of the visit/meetings/conference/training or business related events.

·        Name, designation and signature of the authorized signatory with copy of his/her Passport.

·        Attach a copy of the company Registration Certificate/ Memorandum of articles.

·        Bank statement of the company for the last one year with Bank stamp and signature with employee nr clearly visible. PLEASE INFORM THE BANK THAT YOU NEED IT TO APPLY FOR VISA.

Invitation letter letter of intent on company letterhead

·        letter of intent needs to be sent via email by the inviting company before Visa application’s submission

·        Copy of letter of intent to be attached, if not in original, in colored photocopy.

Inviting Person & Company

·        Copy of the Passport or Identity card of the person in Schengen who is signing the invitation letter.

·        Copy of the Chamber of Commerce certificate of the inviting Company (Registration with the local Chamber of commerce) dated not less than six months prior to the intended travel.

Financial Status and Means of Sustenance as per Requisite Funds Matrix

·        Salary slips (in case employed): last 3 months.

·        Personal 3 months Bank Statement in original (not photocopy) with Bank stamp and signature with employee nr clearly visible. PLEASE INFORM THE BANK THAT YOU NEED IT TO APPLY FOR VISA.

·        ITR acknowledgement for the last three assessment years or form 16A.

·        In case of Proprietorship: Original Company bank statement for last two months only.

Passport copy of the applicant

·        Photocopies of all previous Schengen Visas. Photocopies of valid US and UK Visas.

·        Photocopy: One copy of the front page, one copy of the last page.

Overseas medical insurance

·        Covering travel Period with coverage of Euros 30000 inclusive of a repatriation clause. Minimum 10 days insurance is mandatory from the travel date in Schengen.

Air Ticket

Return flight details or airlines reservation printout.

 

Photo Specification

Photo Specification

Please provide one recent color photograph (not more than 6 months old) of yourself, meeting the following requirements


  • Taken against a light (white or off-white) background so that features are distinguishable and contrast against the background.
  • Clear quality and with the face in focus
  • Full face: non-smiling, no sunglasses, no hat/cap or any head covering, unless the applicant wears such items because of his/her religious belief or ethnic background
  • Printed on normal photographic paper (camera print)
  • Photograph attached (glued) to the Visa Application Form

If the photographs presented do not meet these requirements (see examples here), then the visa application will be considered incomplete and applicant will be asked to take new photographs in the photo booth in the visa application centre

Processing Time

Every applicant can submit his/her Schengen visa application up to 6 months before the intended travel date to the Schengen Area. The mimimum processing time for a visa application is 2 weeks, so applicants are advised to leave enough time – between the appointment date and travel date – for the Mission to process their visa application; no guarantees can be given on the visa application’s return date as delays may occur.
For certain nationalities (see list here) the visa application needs consultation from the other Schengen countries and therefore the minimum processing time may take 3 weeks.
In order to avoid any delays in the visa application process, it is paramount that the visa application is complete and its documents submitted are as per the Mission’s requirements (see Documents Required for the different visa categories). Applicants also need to be aware that, especially during busy season around Easter, Summer holidays (July and August) and Christmas, the appointments (see Schedule an Appointment) are being fully booked very quickly as the Mission only processes a fixed amount of visa applications on a daily basis.
Furthermore applicants need to consider that Mission’s closures and holidays(see Public Holidays/Closures) may extend the visa application processing time.

    Therefore Global Visa Agent recommends all applicants:
  1. to book their appointment as soon as they know they’ll be travelling
  2. to ensure that their visa application’s documentation meets the Mission’s requirements
  3. to leave enough processing time for the Mission

Applicants submitting their visa application in our satellite centres in Manchester or Edinburgh, need to calculate 2-3 extra working days to their minimum processing time as their visa application will first be dispatched to the London office, from where it is forwarded to the Mission in London the following day.
The Mission may always request for additional information/documents or invite applicants for an interview during the visa application process and this may cause delays in the visa process, which applicants accept responsibility for.

Application Forms

In order to apply for Austria visa applicants needs to provide an online visa application form (VAF).(The application form cannot be hand filled)

  1. Therefore each applicant first needs to duly complete and print the online Schengen visa application form as follows:
  2. Click Schengen Visa Application form (PDF format)
  3. Duly complete the online visa application form (as per the passport’s details)
  4. Select File in Menu bar
  5. Select Print and confirm Printing
  6. Once the online Schengen visa application form has been printed then applicant needs to finish the remaining steps:
  7. Sign the completed visa application form in the designated places (1st signature at no.37, 2nd signature right under the disclaimer at the end of the VAF)
  8. Bring the signed visa application form with the supporting documents on his/her appointment day
